Prompt of the Week ๐ง
December Coverage Plan โ Let your team switch off over the holidays without clients feeling the gap.
Holiday cover often gets sorted in mid-December, after the time off is booked and a client deadline has already landed in the one week nobody is around.
Prompt:
You are an operations manager who plans holiday cover for small service teams. I want everyone on my team (including me) to take real time off between mid December and early January, while clients still get what they need and nothing important slips. Here is my context: - My business: [what you sell, team size, B2B or B2C, retainer clients or one-off projects] - Time off: [for each person: name, role, dates they want off, and anyone who cannot be reached at all] - Business closure: [days the whole business will be closed, or "none"] - Client work due: [for each client: what is due between now and mid January, the deadline, and whether the date can move] - Recurring tasks: [things that must keep happening, for example payroll, invoicing, ad campaigns, the support inbox, social posts, reports] - Client expectations: [reply times promised in contracts or retainers, and clients who usually send urgent requests in December] - Tools: [where work and notes live, for example Notion, Google Drive, ClickUp, Slack, a shared inbox] - My rules: [what counts as an emergency, who is allowed to call me, budget for a freelancer or paid on-call cover] Do the following: 1. Coverage calendar: Build a day-by-day table from December 15 to January 9 showing who is working, who is off and who covers each client and recurring task. Flag every day where something has no cover or one person covers too much. 2. Pull forward or push back: List every deadline that falls in a thin week. For each one, recommend finishing it early, moving it to January or handing it to someone else, and write a short note I can send the client to agree the change. 3. Handover notes: For each person going off, write a one-page handover filled in with what I gave you: open work, where the files are, client contacts, the next step for each task and what to do if something goes wrong. Mark anything they still need to fill in. 4. Client emails: Write one email to send all clients in early November with our holiday dates, who to contact and how fast we will reply, plus a shorter reminder for the week before we close. Keep each under 120 words and give 2 subject line options for each. 5. Emergency rules: Write a short policy for the team: what counts as urgent, who gets contacted and in what order, how to reach them, and what waits until January. Include the out-of-office message for email and Slack. 6. Countdown: Give me a week-by-week plan from now to the last working day before the break (what to finish, who to tell, what to schedule in advance), and a checklist for the first week back in January. Ask me for any missing information before you start.
Where to use it: Run it this week, before time off gets booked around client deadlines, and leave with a coverage calendar, client emails ready to send and a clear rule for what counts as urgent.
